Business Terms
Last Updated: 15 October 2026
These Business Terms apply to travel agencies and other businesses that use the Travel Billy portal ("you"). They sit alongside our Privacy Policy. The separate Terms of Service apply to travellers using the Travel Billy app.
Travel Billy is operated by The Trustee for Travel Billy Trust, ABN 23 387 175 533 ("Travel Billy", "we", "us").
1. Your account
- You must give us accurate details when you sign up and keep them up to date.
- You are responsible for everyone who uses your portal login, and for keeping your login details secure.
- You must have the authority to accept these terms on behalf of your business.
2. The 30-day trial
- The trial costs $99 (AUD, including GST), paid when you sign up, and gives you the full platform for 30 days for up to 50 clients.
- Nothing is charged automatically when the trial ends. To keep using Travel Billy you choose to activate your account (section 3).
- The trial fee is not refundable once your account has been created, except where required by law.
- We may extend a trial at our discretion.
3. Licence and plans
- To activate your account you pay a once-off licence fee of $990 (AUD, including GST) and choose a subscription plan. The licence fee may be waived under a promotion we offer from time to time.
- Plans are sized by the number of clients you manage. Every plan includes every feature.
- Essential: up to 50 clients, $99 a month or $1,089 a year
- Professional: up to 150 clients, $179 a month or $1,969 a year
- Premium: up to 500 clients, $489 a month or $5,379 a year
- Custom: larger client lists and white label, by agreement
- All prices are in Australian dollars and include GST.
- Archived clients do not count towards your plan's client limit. When you reach your limit you can archive or remove clients, or move to a larger plan.
4. Billing
- Payments are processed by Stripe. We do not see or store your full card details.
- Your subscription renews automatically at the end of each monthly or yearly period until you cancel.
- You can change your plan, update your card, view invoices or cancel at any time from Manage billing in your portal. A cancellation takes effect at the end of the period you have paid for.
- Plan changes are prorated by Stripe.
- If a payment fails, Stripe will retry it and we will let you know. Your access continues while payment is retried.
- We will give you at least 30 days' notice of any change to our prices.
5. When a trial or subscription ends
- If your trial ends without activation, or your subscription ends, your portal shows only the option to activate. Your clients, trips and documents are kept, subject to section 8.
- While your account is not active, your clients who are travelling at that time keep access to their app until their trip finishes. Other clients are asked to contact you, or may move their trips to Travel Billy Solo.
- You can reactivate at any time, and everything continues as before.
6. Suspending or closing an account
- We may archive your account if fees are unpaid or if you seriously breach these terms. While archived, no one can use your portal and your clients' apps do not show your trips.
- An archived account is kept for 6 months and can be restored in full during that time. After 6 months we may delete it permanently, together with your clients' information.
- You may close your account by contacting us.
7. Your clients' information
- You remain responsible for the personal information you upload about your clients. You must have their consent, or another lawful basis, to share it with Travel Billy for the purpose of providing their travel information to them.
- We handle your clients' information on your behalf, in line with our Privacy Policy and the Australian Privacy Principles.
- You are responsible for checking that the information in your portal and your clients' apps is accurate. Travel Billy uses AI to read documents, and AI can make mistakes.
8. How long information is kept
To protect your clients' privacy and security, Travel Billy keeps travel information only for as long as it is useful:
- 90 days after a trip ends, e-tickets, vouchers and visas are removed. The trip, its bookings, itinerary, invoice and travel insurance stay, and your client can still see the trip in their app.
- 12 months after a trip ends, the trip is deleted completely, including its bookings, itinerary, invoice, insurance and documents. Your client's profile stays unless you archive or delete it.
- We email you at least a week before anything is removed or deleted. You can choose Keep this trip to exempt a particular trip.
- A client's login is switched off if their app has not been used for 12 months. They are emailed two weeks beforehand, and you can switch it back on at any time. Their information is not deleted because of this.
- When you delete a client, a trip or a document, it is removed from our systems within 30 days, including from backups.
IMPORTANT: KEEP YOUR OWN RECORDS
Travel Billy is a tool for sharing travel information with your clients. It is not a record-keeping or archiving system. Documents such as tickets, vouchers and invoices are copies of documents issued by airlines, hotels and other suppliers, and you remain responsible for keeping your own business records for as long as the law or your obligations require.
9. Where information is stored
- Travel Billy is hosted by Hetzner Online GmbH, a German company. Our servers and database are in Singapore, and travel documents are stored in Germany.
- Information is encrypted in transit, and access is limited to people who need it to run the service.
- More detail is in our Privacy Policy.
10. Blog posts and community tips
- You can submit blog posts and community tips through Contribute in your portal. Every contribution is reviewed before it is published, and we may decline, edit for length or clarity, or later remove any contribution.
- Published contributions carry the name, business and link you provide. Blog posts appear on the Travel Billy website, and community tips are shown to travellers and agents in Travel Billy and Travel Billy Solo.
- You keep ownership of what you write. By submitting it, you give Travel Billy a free, worldwide, non-exclusive licence to publish, display and share it, including on social media, for as long as it is published.
- You must only submit content you have the right to share. It must not include anyone's personal information without their consent, and must not be misleading, offensive or unlawful.
11. Acceptable use
- Use Travel Billy only to manage travel information for your clients and your business.
- Do not try to access other businesses' information, interfere with the service, or use it for anything unlawful.
12. Liability
- Nothing in these terms excludes rights you have under the Australian Consumer Law that cannot be excluded.
- Otherwise, to the extent the law allows, Travel Billy is not liable for indirect or consequential loss, and our total liability to you is limited to the fees you paid us in the 12 months before the claim.
- Travel Billy does not book or guarantee travel. All bookings and travel arrangements remain your responsibility and your suppliers'.
13. Changes to these terms
We may update these terms from time to time. We will email you at least 30 days before any significant change takes effect. Continuing to use Travel Billy after that date means you accept the updated terms.
14. Governing law
These terms are governed by the laws of Australia.
