1. Acceptance of Terms
By accessing and using Travel Billy (the "App"), you accept and agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the App.
2. Description of Service
Travel Billy is available in two versions:
- Travel Billy — A mobile application for travellers whose itineraries are managed by a registered travel agent. Your agent uploads and maintains your travel information through the Travel Billy portal.
- Travel Billy Solo — A mobile application for independent travellers who manage their own travel information. You upload and maintain your own itinerary data directly.
Both versions display trip information, bookings, documents, and related travel details. The terms below apply to both versions unless specifically noted.
3. Travel Billy — Travel Agent Relationship
The following applies specifically to Travel Billy (agent-managed) users:
- Travel Billy is a tool provided by your travel agent to deliver your itinerary
- Your travel agent is responsible for the accuracy and completeness of all travel information
- The App developer is not your travel agent and does not book, arrange, or guarantee any travel services
- All travel arrangements, bookings, and reservations are made by your travel agent
- Any queries about your bookings or itinerary should be directed to your travel agent
3A. Travel Billy Solo — User Responsibility
IMPORTANT NOTICE FOR SOLO USERS
The following applies specifically to Travel Billy Solo users:
- You are solely responsible for the accuracy, completeness, and currency of all travel information you upload to the App
- The App processes and displays information exactly as you provide it — if the information you upload is incorrect, incomplete, or outdated, the App will reflect those errors
- Travel Billy Solo uses AI technology to extract and organise information from uploaded documents. AI processing can introduce errors — you must verify all extracted information against your original documents
- You are responsible for reviewing all itinerary details (dates, times, flight numbers, hotel names, confirmation numbers) after upload and correcting any inaccuracies
- The App is a convenience tool for organising your travel information — it does not independently verify bookings, reservations, or travel arrangements
- Travel Billy accepts no responsibility for missed flights, incorrect bookings, or travel disruptions arising from inaccurate information uploaded by the user
- Always retain original booking confirmations and documents as your primary source of truth
4. AI Technology Disclaimer
IMPORTANT NOTICE ABOUT ARTIFICIAL INTELLIGENCE
- Travel Billy may use artificial intelligence (AI) and machine learning technologies to process, organize, or display travel information
- AI systems can make mistakes, misinterpret information, or produce inaccurate results
- All AI-processed information should be verified against official booking confirmations and documents
- You are responsible for checking all travel details (dates, times, locations, bookings) for accuracy
- Never rely solely on AI-generated information for critical travel decisions
- Always verify important details with your travel agent or service providers directly
5. No Warranty on Travel Information
- Travel Billy displays information "AS IS" without warranties of any kind
- We do not guarantee the accuracy, completeness, or timeliness of any travel information
- Flight times, hotel bookings, and other details may change - always verify with providers
- The App is a convenience tool and should not be your only source of travel information
- Keep physical or digital copies of all important travel documents
5A. Safety Messaging & Location Data
IMPORTANT NOTICE ABOUT SAFETY MESSAGING
Travel Billy includes a safety messaging feature that allows companies and organisations to send communications to travellers based on itinerary-derived location data. By using Travel Billy, you acknowledge and agree to the following:
- Location reports are based on itinerary data uploaded by your company or organisation, not real-time GPS tracking. Itineraries may be outdated, changed, or cancelled, meaning location data may not reflect a person's actual location
- Travel Billy does not guarantee the accuracy, completeness, or currency of location data used in safety reports or messaging
- The content of safety messages sent through Travel Billy is the sole responsibility of the sender. Travel Billy does not verify, endorse, or guarantee the accuracy of any message content
- Safety messages are delivered on a best-effort basis. Delivery is not guaranteed due to network conditions, device settings, or other factors
- Recipients must always refer to local authorities, emergency services (000/911/112), their nearest embassy or consulate, and official government travel advisories (e.g. DFAT Smartraveller, UK FCDO) for verified safety information
- This messaging system does not replace emergency services, official evacuation procedures, or government travel advisories
- Companies using the safety messaging feature are responsible for maintaining their own independent emergency communication procedures
- Travel Billy accepts no liability for delayed, failed, or misdirected safety communications, or for any actions taken (or not taken) based on information sent through this system
5B. Company Newsfeed & Published Content
- Companies and organisations may publish text posts, documents, and files to a newsfeed visible to their registered travellers
- All newsfeed content — including text, files, and attachments — is created and published by the company or organisation, not by Travel Billy
- Travel Billy does not review, verify, endorse, or moderate newsfeed content
- The publishing company or organisation is solely responsible for the accuracy, legality, and appropriateness of all content they publish
- Travel Billy accepts no liability for any loss, damage, or inconvenience arising from newsfeed content published by a company or organisation
- Travel Billy reserves the right to remove content that violates these Terms or applicable law
5C. Flight & Travel Information
- Flight times, statuses, gate information, and terminal details may be incorrect, delayed, or incomplete
- Users must verify all flight information directly with their airline or travel agent
- Travel Billy is not liable for missed flights, missed connections, or travel disruptions caused by inaccurate or delayed data
- Weather forecasts and destination information are estimates only and should not be the sole basis for travel decisions
- Always check official airline and airport sources before travelling
6. User Responsibilities
You agree to:
- Verify all travel information independently
- Keep your login credentials confidential
- Not share your account access with unauthorized persons
- Report any errors or discrepancies to your travel agent immediately
- Comply with all applicable laws and regulations during your travels
7. Limitation of Liability
To the fullest extent permitted by law:
- Travel Billy and its developers are not liable for any missed flights, incorrect bookings, or travel disruptions
- We are not responsible for errors in information provided by your travel agent
- We are not liable for any damages arising from AI errors or technical failures
- Your sole remedy for any issues is to contact your travel agent directly
8. Changes to Itinerary
- Your travel agent controls all itinerary information in the App
- Any changes to your travel plans must be made through your travel agent
- The App itself cannot modify bookings or reservations
- Updates may take time to reflect in the App after your agent makes changes
9. Data and Privacy
- Your use of Travel Billy is also governed by our Privacy Policy
- Your travel data is stored securely on your device
- We do not sell or share your personal travel information with third parties
- Your travel agent has access to the information they upload for you
10. Intellectual Property
- Travel Billy and all related content are protected by copyright and other intellectual property laws
- You may not copy, modify, or distribute any part of the App without permission
- Your itinerary content remains the property of you and your travel agent
11. Termination
- You may stop using the App at any time
- We reserve the right to terminate or suspend access for violations of these Terms
- Upon termination, you should delete the App and all associated data
12. Third-Party Data Services
Travel Billy integrates with third-party data services to provide certain features. These services are operated independently and are not controlled by Travel Billy:
Concierge Feature
- OpenStreetMap & Overpass API — Location data and nearby points of interest (restaurants, transport, attractions, etc.)
- Nominatim — Address geocoding and location lookup
- Claude AI (Anthropic) — Personalised travel recommendations and natural language responses
Flight Alerts Feature
- AviationStack — Real-time flight status data including delays, cancellations, gate and terminal information
Exchange Rates
- Reserve Bank of Australia (RBA) — Currency exchange rate data
IMPORTANT: THIRD-PARTY DATA DISCLAIMER
- Travel Billy does not control, verify, or guarantee the accuracy, completeness, or timeliness of any data provided by third-party services
- Flight status information may be delayed, incomplete, or incorrect — always verify directly with your airline or travel agent
- Location-based recommendations are sourced from community-maintained databases and may contain errors, outdated information, or omissions
- AI-generated recommendations are advisory only and may be inaccurate or inappropriate for your circumstances
- Exchange rates are indicative only and may not reflect current conditions
- Travel Billy accepts no responsibility or liability for any loss, damage, inconvenience, or expense arising from errors, omissions, or inaccuracies in data provided by any third-party service
- You should always verify critical information independently before making travel decisions
13. Governing Law
These Terms are governed by the laws of Australia, without regard to conflict of law principles.
14. Changes to Terms
We reserve the right to modify these Terms at any time. Continued use of the App after changes constitutes acceptance of the modified Terms.
